Using Staff Resources
What can I find on the Staff Resources website?
Staff Resources brings together NERPSA forms, contacts, important dates, employment information, policies, wellbeing support, induction, professional learning and practical service resources.

Why do some tools work better on a computer or tablet?
Some forms, learning activities, tables and printable reports need more screen space than a phone provides. You can still use the website on a phone, but a computer or tablet will usually provide the clearest layout and easiest access.

What should I do if a link or form is not working?
Refresh the page and check that your internet connection is working. If the problem continues, note the page name and the link or button that is not working so it can be corrected.

Where can I see important NERPSA dates?
The Important Dates page includes training and planning days, kindergarten dates, public holidays, cultural dates and NERPSA events. Calendar links are available for many events.

Forms and documents
Where can I find NERPSA staff forms?
The Forms page includes leave, additional hours, professional development, employee information, availability, banking, tax, superannuation and other staff forms.

How do I submit a document to the NERPSA office?
Use the online Document Submission form. It records the submission centrally and helps direct the document to the appropriate person. Include enough information for the document to be identified and processed.

How do I apply for leave?
Complete the Leave Application form and provide the required information. Follow the usual service communication process so the relevant people know about the proposed or unexpected absence.

How do I submit additional hours?
Use the Additional Hours Application for approved hours outside your ordinary arrangements. Include the date, hours, reason and approval information requested by the form.
How do I apply to attend professional development?
Discuss the proposed professional development through the appropriate approval pathway, then complete the Professional Development Application. A PD application is separate from your Professional Development Plan.
Where do I update my employee or staff record information?
The Forms page includes the Employee Form, Staff Record, About Me, Availability to Work and other forms used to provide or update staff information. Select the form that matches the information you need to provide.

Where can I find the Staff Handbook?
The Staff Handbook brings together practical employment and organisational information for NERPSA staff.

Where can I find my position description?
Position descriptions are available for NERPSA educator, teacher, educational leader, nominated supervisor, senior educator and occasional care roles.

Where can I find payroll dates or payslip instructions?
The NERPSA and Department Information page includes the current payroll processing schedule and ADP payslip login procedure.

Where can I find the VECTEA or Children’s Services Award?
Links to the Victorian Early Childhood Teachers and Educators Agreement and the Children’s Services Award are available with other employment information.

Who should I contact about pay, banking, tax or superannuation?
Use the relevant form when providing or changing banking, tax or superannuation details. Direct payroll questions to Payroll. Finance questions that are not payroll matters should go to Finance.

Policies, child safety and emergencies
Where can I find current NERPSA policies?
Current service policies are available through the NERPSA Policies section. Staff employment policies and position descriptions are also accessible through Staff Resources.

What should I do if I have a child safety concern?
Act promptly in accordance with the NERPSA Child Safe Environment and Wellbeing Policy, service procedures and your own reporting obligations. If a child is in immediate danger, call 000. Do not delay an urgent response while looking for a form or website page.

What should I do in a real emergency?
Follow the service Emergency Management Plan immediately and call 000 where required. Protect children and others from immediate harm. Do not stop to complete an online form or drill record during an emergency.

Where do I record an emergency and evacuation drill?
Use the standard NERPSA emergency and evacuation drill record after the drill. The supporting page explains preparation, participation, reflection, follow-up and recordkeeping.

Where can I find excursion and regular outing documents?
Excursion authorisation, regular outing authorisation and excursion risk-assessment templates are available with NERPSA and Department information.

The Chemical Registers and Safety Data Sheets page provides access to service chemical records and related guidance.

Induction, learning and development
Where do new employees complete their NERPSA induction?
The NERPSA Employee Induction covers organisation-wide information, child safety, reporting, safe practice, systems, professional responsibilities, employment information and support. It works alongside local service orientation and role-specific guidance.

Can I choose a NERPSA Learning lesson myself?
Yes. Staff may choose learning relevant to their role, interests, responsibilities or identified development needs. Learning may also be recommended or requested as part of supervision, a PDP or service improvement work.

How do I know which professional learning to complete?
Use the Professional Learning Self Assessment to reflect on your current practice and receive learning recommendations. You can also discuss priorities with your Education Manager or connect learning to your PDP and service improvement priorities.

Where do I complete my Professional Development Plan?
The Professional Development Planning page provides the current PDP form, planning guidance, relevant professional references and supporting forms.

What is the difference between a PDP and a PD application?
Your Professional Development Plan identifies goals, learning priorities and intended growth over the planning cycle. A Professional Development Application is used to request approval for a specific course, conference, workshop or other development activity.

Training and Professional Development includes educational leader resources, Child Safe Standards, trauma-informed practice, inclusion support, behaviour guidance, workplace safety, articles and shared resources.

What is NERPSA Pathways?
NERPSA Pathways provides clear participation pathways and expectations for students, volunteers and others who are learning or contributing in NERPSA services. It includes supervision, sign-in, care, digital safety and recordkeeping expectations.

Where can I find staff wellbeing and EAP information?
The Wellbeing page includes urgent support contacts, Employee Assistance Program information and practical wellbeing resources for early childhood professionals.

Who should I contact if I am unsure where to go?
Use the Contact Us page to find the Manager, Education Managers, Administration, Human Resources, Payroll and Finance. Choose the contact whose responsibilities most closely match your question.

Contact your Education Manager for educational practice, service operations, professional support, supervision, staffing guidance, concerns requiring escalation and help identifying the appropriate next step.

When should I contact Human Resources?
Contact HR about employment documentation, staff records, recruitment, workplace matters, policies, forms, professional development processes or when you are unsure which employment pathway applies.

What if there is a barrier preventing me from accessing support?
Tell NERPSA if timing, location, technology, accessibility, privacy, workload or another barrier is making it difficult to access support. NERPSA can discuss the barrier with you and consider practical options or a more suitable pathway.
