Leave, Additional Hours, Payroll, And Staff Forms
This section helps staff understand where to find everyday employment information, how to follow NERPSA leave procedures, and how to use the correct staff forms and payroll pathways.
Use The Current NERPSA Process
Staff need to know where to find current employment information, staff forms, and practical process guidance. This includes leave, Additional Hours, payroll queries, document submission, Position Descriptions, EAP information, and the Staff Handbook.
Forms and processes may be updated over time. Use the Staff Resources website or NERPSA App rather than older saved copies, screenshots, or informal instructions.
Leave
Follow your service procedures, notify the right people, and submit a Leave Application Form through the NERPSA App or Staff Resources website.
Additional Hours
Additional Hours must be approved and submitted through the current Additional Hours Form.
Payroll And Staff Forms
Raise payroll queries promptly and use current NERPSA forms for staff details, documents, certificates, and employment updates.
Staff Handbook
The Staff Handbook Is The Main Employment Guide
The Staff Handbook is the key employment resource for staff processes and expectations. It helps staff understand how NERPSA employment processes work in practice.
It includes practical employment information such as leave, Additional Hours, staff responsibilities, workplace expectations, payroll-related processes, communication, support, forms, and procedures.
Leave Procedure
Guidelines For Unplanned And Planned Absences
Leave procedures help services plan safely, maintain ratios, organise relief where needed, and keep employment records accurate.
What To Do If You Are Unwell
If you are sick or unable to attend work, follow the notification process as soon as possible so the service can respond, staffing can be reviewed, and relief can be arranged where needed.
As part of your service orientation, ask what local procedures are in place for unplanned leave or sickness.
Follow the service procedure for notifying the appropriate person as early as possible.
If you are not aware of the service procedure, call the “Call After Hours Only” number in the NERPSA App, and relief will be organised for you. Also let your service know you will not be in and to expect relief staff.
Access the NERPSA App or Staff Resources website and submit a Leave Application Form.
What To Do If You Need To Take Leave In The Future
Planned leave should be discussed and submitted as early as possible so the service and NERPSA can plan ahead.
Follow the local service procedure for planned leave.
If you know a colleague or relief staff member who may be available, include this information when you speak with your service leader or submit your Leave Application Form.
The service still needs to confirm arrangements and make sure staffing, ratios, supervision, and service needs remain appropriate.
Submit a Leave Application Form through the NERPSA App or Staff Resources website as soon as possible.
If you are not aware of a colleague or relief staff member who may be available, write this on your Leave Application Form and relief will be arranged where required.
Additional Hours
Additional Hours Need The Correct Approval And Form
The Additional Hours Form is used where staff are approved to complete work outside their ordinary rostered hours.
Additional Hours must be approved and submitted through the current Additional Hours Form. Staff should follow the instructions in the Staff Handbook, Staff Resources website, or NERPSA App.
Induction time can only be claimed as Additional Hours if it is completed outside paid work time and has been approved. Induction completed during paid rostered time cannot also be claimed as Additional Hours.
Payroll
Contact Payroll Promptly
Payroll queries should be raised promptly by emailing pay@nerpsa.com.au.
Include enough detail for the query to be checked, such as the pay period, date, service, shift, leave, Additional Hours, or issue you are asking about.
Update Details Through The Relevant NERPSA Pathway
Bank, tax, superannuation, name, address, contact, or other pay-related changes need to be updated through the relevant NERPSA staff form, Staff Resources pathway, NERPSA App link, or payroll contact.
If you are unsure which pathway applies, check the Staff Handbook, Staff Resources website, NERPSA App, or email payroll for pay-related changes.
Using The Right Process
Use Current Forms And Instructions
Forms and processes may be updated over time. Staff should use the current version available through the Staff Resources website or NERPSA App rather than older saved copies, screenshots, or informal instructions.
Do Not Wait If Something Is Unclear
If you are unsure how to apply for leave, submit Additional Hours, update details, use a form, or ask a payroll question, check the Staff Handbook, use the Staff Resources website or NERPSA App, or contact payroll for pay-related questions.
